Facilities Preparation

Walk-Through & Key Pick-Up

AIW Facilities will typically arrange a walk-through of campus in advance of the camp. This will often involve you meeting with a representative of the school or district who will show you around campus and provide site-specific details. In some cases,  you will be issued a key by the host school or district. In other cases, the school/district will provide a janitor to open and close campus each day. The Home Office will contact you with details closer to the start of camp.

Camp Emergency Preparedness Plan

When visiting the facility for the walk-through (and if applicable, key pick-up), please ask about the site emergency plan.  You would like to know where they take students in the event of a fire or earthquake.  Our goal is to be consistent with the campus since emergency personnel are already familiar with existing protocols.

If you do not conduct a walk-through, please take a few minutes during the set-up day, or early on the first day and choose a safe place to take campers during an emergency and for parent reunification. Please communicate this plan to your team.

Schedule Site Set-Up Day

We will typically schedule ~2 hours on the Friday, Saturday, or Sunday before camp begins in order for you and your team to set-up on campus. AIW Facilities will reach out to you once the set-up day is confirmed.  In turn, we ask you to coordinate the details with your team.  Contact [email protected] if you have questions about your session set-up day.

See the Set Up Day Checklist in the Daily Logs section of the Camp Management Binder for details about what needs to be accomplished by you and the team on the Site Set-Up Day.
