Managing Your Team – Morning/Afternoon Meetings and Setting Expectations

Morning Meeting (8:15am to no later than 8:45am)

Daily meeting agendas are included in the Forms and Checklists section.  Please do not skip your morning meetings.  This is your chance to develop the team, share relevant information, identify issues, and develop community.  Sample agendas are provided in the Daily Logs of the Camp Management Binder.

The purpose of this meeting is to:

  • Set intentions and expectations for the day
  • Review policies and/or deliver training
  • Address problems affecting the camp 
  • Recognize achievement as a team

Keep in mind that this is an all staff meeting and that some topics may not be relevant to your 1st grade or middle school team. At the end of the meeting dismiss teams to prepare for their day, or if necessary, plan to meet with individual teams separately.

Suggested expectations to set within the first 3 days of camp with your team:

  • Review adult camper interactions and safety protocols
  • Set expectations about timeliness and how to check-in/check-out each day
  • Review no-phones during non-break hours policy
  • Community building (plan activities to build communication and team morale)
  • Assigning and rotating jobs as needed (cleaning, organizing, observing, etc)
  • Communication between AGs and Rangers (establish how you want duties addressed, discuss responsibility for who does what)
  • Camp-Day Logistics (timeline, schedule, breaks, off limits areas)
  • Norms  (set expectations on day one and write it down for all camp staff)
  • Honor time and make meetings relevant and purposeful (allow Rangers time to prep for next day)
  • Review Playground Supervision Strategies (boundaries, spacing, off-limit equipment, etc)
  • Post site map with clear drop off/pick up for team and parents (especially if your camp shares facility with other camps)
  • Address problems early; and look to understand any hesitations 
  • Have a camp mantra and repeat it often (i.e. “The more fun YOU have… the more fun you have!”)
  • Model how you want things done. Role-play and rehearse. 
  • Create a mechanism for staff to share feedback and ideas (post-it parking lot, daily check-in, daily sharing of “roses and thorns”

 

Afternoon Meeting (3:05 – 3:15pm)

Please hold a daily check-in from 3:05 to 3:15pm. It is very important you get everyone out by 3:15 sharp. The purpose of this meeting is to:

  • Identify issues that need to be dealt with before tomorrow
  • Recognize success
  • Verify incomplete I-9s or answer questions about Paycom/timecards
  • Make yourself available to team members
